This policy explains what personal data Vacation in Ibiza collects through vacationinibiza.com, why we collect it, and what rights you have. It is written to comply with the EU General Data Protection Regulation (GDPR) and the Spanish Organic Law 3/2018 on Data Protection (LOPDGDD).
Who we are
Vacation in Ibiza is a trading name of Property Services Ibiza ESPJ, NIF E19416288, Via Punica 2/3E, 07800 Ibiza (Illes Balears), Spain. What we collect
When you send an enquiry or contact form: your name, email address, phone number, travel dates, number of guests, the villa or service you are interested in, and anything you choose to tell us in the message.
When you book: the details above, plus your billing details and the names of the guests in your party. Card payments are processed by Stripe; we do not see or store your full card number.
Before or on arrival: Spanish law (Royal Decree 933/2021) requires us to register the identity document details of every guest aged 14 or over with the Ministry of the Interior's SES Hospedajes system. We collect these details only for that purpose.
When you subscribe to our newsletter: your name and email address, and the travel preferences you choose to share.
When you browse the site: technical data such as your IP address, browser, device and the pages you visit, through cookies and similar technologies. See our Cookie Policy for details.
Why we use it, and on what legal basis
- To answer your enquiry and prepare a quote — taking steps at your request before a contract (Art. 6.1.b GDPR).
- To manage your booking, payments, check-in and stay — performance of the contract (Art. 6.1.b).
- To register guests with the authorities and keep accounting records — legal obligation (Art. 6.1.c).
- To send you our newsletter and offers — your consent (Art. 6.1.a), which you can withdraw at any time using the unsubscribe link in every email.
- To keep the site secure and understand how it is used — our legitimate interest (Art. 6.1.f), and your consent where cookies require it.
We do not sell your personal data, and we do not use it for automated decision-making or profiling with legal effects.
Who we share it with
Only with the parties needed to provide the service:
- The villa owner or manager of the property you book, so they can prepare for your stay.
- Service providers you request through us, such as transfers, chefs, boat charters or car rental, limited to what they need to deliver the service.
- Technical providers that process data on our behalf: website hosting and database (Base44), payment processing (Stripe), email delivery and website analytics (Google).
- Public authorities where the law requires it, such as guest registration with SES Hospedajes and the tax authorities.
Some of these providers are based outside the European Economic Area. Where that is the case, the transfer is covered by the EU-US Data Privacy Framework or by the European Commission's Standard Contractual Clauses.
How long we keep it
- Enquiries that do not lead to a booking: up to two years after our last contact, then deleted.
- Booking and invoice records: as long as Spanish tax and commercial law requires, generally six years.
- Guest registration data: for the period set by the applicable regulations.
- Newsletter data: until you unsubscribe.
Your rights
You have the right to access your data, to have it corrected or erased, to restrict or object to its processing, to data portability, and to withdraw your consent at any time. To exercise any of these rights, email info@vacationinibiza.com. We will reply within one month.
If you believe we have not handled your data correctly, you can also lodge a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos, www.aepd.es).
Security
We use encrypted connections (HTTPS) across the site and restrict access to your data to the people who need it to handle your booking.
Changes
We may update this policy when our services or the law change. The date at the top shows when it was last revised.
